What we collect
When you visit this website
The servers that deliver this website automatically record technical details of each request: your IP address, browser type, the page requested and the time. This is needed to send you the page and to keep the site secure, and these logs are kept for a short period only.
The website sets no cookies, has no forms, and runs no analytics, tracking or advertising. If you pause the background animation, that choice is saved in your own browser and is never sent to us.
When you contact us
If you email us, we receive your name, email address, the contents of your message and anything else you choose to include. Contacting us is voluntary, but we can't reply without a way to reach you.
When you become a client
To quote, contract, deliver and invoice, we process the contact and billing details of you or your organisation, and the information needed for the project. Your agreement with us sets out how we handle any personal information we process on your behalf.
Why we use it
- To reply to you and prepare a quote, because you asked us to.
- To perform our agreement with you, including invoicing and support.
- To keep our website and systems secure, which is in our legitimate interest and yours.
- To keep the financial and company records the law requires.
We don't sell personal information, and we don't send marketing messages unless you have agreed to receive them. We don't use it to make automated decisions about you.
Who we share it with
We use a small number of service providers to host this website and to run our email and business systems. They process personal information only on our instructions, under written agreements that require them to keep it secure. We may also share information with our professional advisers, or with authorities when the law requires it.
Some of these providers store information outside South Africa. We use only providers that are bound by laws or agreements giving a level of protection similar to POPIA, as section 72 of POPIA requires.
How long we keep it
Enquiries that don't lead to work are deleted within 12 months. Client, contract and financial records are kept for as long as tax and company law requires, which is usually five to seven years. After that we delete them or keep them only in a form that no longer identifies you.
How we protect it
We use encrypted connections and access controls to protect personal information, and limit access to people who need it. If we believe your information has been accessed without authorisation, we will tell you and the Information Regulator as POPIA requires.
Your rights
Under POPIA you may:
- ask whether we hold personal information about you, and for a copy of it;
- ask us to correct or delete information that is inaccurate, out of date or no longer needed;
- object to us processing your information, including for direct marketing; and
- complain to the Information Regulator.
To use these rights, email privacy@inferenceworks.co.za. We may need to confirm your identity first. Formal requests for records can also be made as described in our PAIA manual.
The Information Regulator's contact details and complaint forms are on its website, inforegulator.org.za.
